Administrative Assistant
Job Description
Working hours are from 9:00 a.m. to 5:00 p.m., Monday to Friday.
I. Core Job Responsibilities
- Daily Office Support
- Be responsible for the sending, receiving, sorting, filing and electronic management of documents, and proficiently use Office suite (Word, Excel, PPT) as well as commonly used local office software (e.g., Google Workspace).
- Coordinate meeting room bookings, meeting minutes collation and meeting material preparation, and follow up on the implementation progress of meeting resolutions.
- Handle daily incoming calls and visitor receptions, and assist in responding to basic inquiries from customers or partners.
- Travel & Logistics Coordination
- Assist employees and management with travel arrangements, including flight and hotel bookings, visa applications (Singapore has frequent cross-border businesses, requiring a basic understanding of visa procedures in Southeast Asia and worldwide), and the sorting and submission of travel expense reimbursement documents.
- Manage the procurement, inventory checking and distribution of office supplies, control the cost of office consumables, and ensure a clean and orderly office environment.
- Administrative Process Support
- Assist in implementing the company's HR and administrative processes such as attendance tracking, leave management and overtime recording, and compile relevant data reports.
- Cooperate in organizing internal activities such as employee team - building events and annual dinners, and be responsible for venue arrangement and personnel coordination.
- Facilitate document delivery and communication coordination between departments to ensure the smooth operation of daily administrative work.
II. Job Requirements
- Education & Major
- College diploma or above; majors such as Business Administration, Secretarial Studies are preferred.
- Skills & Abilities
- Proficient in operating office software and equipment including printers, scanners and projectors, with basic data sorting and report - making capabilities.
- Possess good time management skills and multi - tasking ability, and be able to efficiently complete multiple administrative tasks.
- Competencies & Others
- Meticulous, patient, responsible, with a strong sense of service and team spirit.
- Understand basic workplace etiquette in Singapore, abide by the company's confidentiality system, and be able to handle basic confidential documents.
