We are seeking a reliable and organised Administrative Assistant to provide day-to-day administrative and secretarial support to our executives and management team.
You will help maintain schedules, prepare meeting materials, manage correspondence, and ensure that office operations run smoothly and efficiently.
This role offers excellent exposure to professional association management, event coordination, and corporate administration within a regional setting.
Responsibilities
- Manage executives' calendars, appointments, and meeting arrangements.
- Attend meetings and prepare accurate minutes; track and follow up on action items.
- Handle incoming and outgoing correspondence (emails, letters, packages) promptly and professionally.
- Receive and screen calls; redirect inquiries appropriately.
- Assist with data entry, report preparation, and presentation materials.
- Coordinate travel arrangements and logistics for executives or visiting delegates.
- Maintain organised filing systems (digital and physical) to ensure easy information access.
- Prepare simple invoices or reimbursement claims and assist in basic bookkeeping tasks.
- Monitor office supplies and liaise with vendors to ensure cost-effective procurement.
- Handle confidential documents and information with discretion.
- Conduct research or compile data for reports and presentations as assigned.
Requirements:
- Diploma in Business Studies, Administration, or equivalent.
- Fresh graduates are welcome to apply.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Excellent written and spoken English.
- Organised, meticulous, and able to manage multiple priorities effectively.
- Professional demeanour with good interpersonal and communication skills.
- High integrity and discretion when handling confidential information.
- Willingness to occasionally work beyond normal hours during peak event periods.
Job Types: Full-time, Contract, Permanent
Contract length: 24 months
Pay: $2, $2,500.00 per month
