Job Description

What you will do:

  1. HR Data, Systems & Reporting Support

  2. Assist in updating and maintaining employee data in HR systems (HR App, ERP/MIS).

  3. Support preparation of routine HR reports (Headcount, attrition, leave tracking).
  4. Validate data accuracy and flag inconsistencies to HR Generalist.
  5. Assist with departmental metrics reporting as required.

  6. Contracts & Documentation Support

  7. Assist in preparing employee contracts, confirmations, and renewals using approved templates.

  8. Support tracking of contract expiry dates and documentation status.
  9. Assist with filing and organizing work permits and employee documentation.

  10. Benefits & Records Administration

  11. Support administration of employee benefits records (Medical, Pension, ICEA) under supervision.

  12. Assist Payroll Lead by compiling required benefits data and documentation.
  13. Maintain accurate digital employee files in the HR App and shared systems.

  14. Employee Lifecycle Support (Operational)

  15. Support onboarding documentation (checklists, system access forms, file creation).

  16. Assist with offboarding documentation, exit checklists, and IT revocation tracking.
  17. Support exit clearance documentation and records filing.

  18. Compliance & File Management

  19. Assist with maintaining compliance documentation (OSHA, WIBA, NEA records).

  20. Support audits by retrieving HR files and reports when requested.
  21. Always ensure confidentiality and proper handling of employee records.

  22. HR Support Tasks

  23. Provide basic support for interview scheduling when required (calendar coordination).

  24. Support HR system improvement projects (testing, data clean-up, documentation).
  25. Assist with staff changes documentation (transfers, promotions) under guidance.

What you will need:

  • Diploma or Degree student/recent graduate in Human Resources, Business Administration, or related field.
  • Basic knowledge of HR principles and employment documentation.
  • Strong attention to detail and data accuracy.
  • Good organizational and record-keeping skills.
  • Basic proficiency in MS Excel and Word.
  • Previous attachments or internship will be an added advantage
