What You'll be Doing
We are seeking a detail-oriented and proactive TA Pre Onboarding Specialist to ensure a seamless pre-employment experience for new hires in Warsaw & Cracow, Poland. This role focuses on managing the administrative aspects of the hiring process from offer acceptance to Day 1, ensuring compliance, documentation accuracy and a positive candidate experience.

During a Typical Day, You'll:

  • Coordinate and manage all administrative tasks related to the pre-onboarding process for new hires.
  • Prepare and issue employment contracts and offer letters in alignment with Polish labor law and internal policies.
  • Collect, verify, and file required documents (e.g. ID, tax information, social security number – AMKA/AFM/AMKA, diploma copies, etc.).
  • Maintain accurate records in TA’s IT platforms including our ATS.
  • Liaise with internal departments (e.g., Payroll, IT, Facilities) to ensure Day 1 readiness.
  • Act as the point of contact for new hires regarding pre-employment queries and onboarding timelines.
  • Ensure legal compliance with local employment laws and company procedures.
  • Support continuous improvement initiatives to enhance the pre-onboarding process.
  • What You Bring to the Role

  • Proven experience in HR administration, recruitment support, or similar role.
  • Familiarity with Polish labor and employment regulations.
  • Strong organizational and time-management skills.
  • High attention to detail and confidentiality.
  • Excellent communication skills in Polish and English (verbal and written).
  • Proficiency in MS Office and a working knowledge of TA applicant tracking systems
  • Bachelor’s degree in Human Resources, Business Administration, or related field (preferred).
