Training Coordination Administrator

Full-Time | Office-Based | Durban, South Africa

About the Role

We are seeking a highly organised and detail-focused Training Coordination Administrator to join our fast-paced team. In this role, you will be responsible for coordinating training schedules, managing bookings, maintaining compliance documentation, and providing exceptional administrative support to both customers and internal training teams.

Key Responsibilities

Training Administration & Coordination

  • Generate and process training contract renewals, events, and amendments, including oversight of major client training contracts.
  • Manage training booking requests and confirmations for customers and external training teams.
  • Update and maintain training records, schedules, and customer information within internal company systems (such as Microsoft Dynamics – CRM).
  • Provide comprehensive administrative support for all training activities, including sales processing, booking confirmations, compliance documentation, attendance tracking, and feedback collation.
  • Support the allocation of daily training task queues, ensuring tasks are distributed efficiently to trainers or relevant teams.

Quality Assurance & Compliance

  • Carry out quality assurance checks on training events and issue relevant reports or documentation.
  • Maintain training databases, including Microsoft Access systems used by training and compliance teams.
  • Review sales logs and cross-check CRM entries to ensure data accuracy.
  • Adhere to training contract KPIs and SLAs to avoid non-compliance or financial clawback.

Customer & Trainer Support

  • Provide informed support to customers regarding course availability, training services, and general enquiries.
  • Develop a strong understanding of the company's training products, pathways, and UK dental compliance requirements.
  • Manage cancellations and amendments initiated by customers or trainers.
  • Coordinate substitute trainers or reschedule sessions where necessary.
  • Arrange remote training sessions when face-to-face delivery is not possible.
  • Maintain effective relationships with internal trainers and external training providers.
  • Liaise with the Lead Resuscitation Officer on training event planning, including Intermediate Life Support sessions.

General Administration

  • Produce periodic reports relating to training delivery.
  • Perform bi-weekly quality checks on externally delivered training events.
  • Support general office and administrative tasks to ensure the smooth running of the training function.
  • Ensure compliance with Health & Safety, MHRA, and Good Distribution Practice where relevant.

Skills and Experience Required

Essential Skills

  • Strong organisational and coordination skills with excellent attention to detail.
  • Ability to manage a high-volume workload while maintaining accuracy.
  • Confident problem-solving abilities with a proactive approach.
  • Flexible and able to adapt to changing priorities.
  • Strong communication skills, including a professional telephone manner.
  • Good IT proficiency across relevant systems and software.
  • Ability to build positive relationships with both customers and internal teams.
  • Self-motivated, able to work independently and collaboratively.
  • Good geographical knowledge of the UK to support effective scheduling.

Experience

  • Proven experience in a similar administration role (experience within the Engineering or Dental industry advantageous).
  • Comfortable working towards KPIs and deadlines.
  • Experience using Microsoft Dynamics or other CRM platforms.

Qualifications

  • National Senior Certificate (Matric) or equivalent, with passes in English and Mathematics.
